1. About us and these terms

aheadtutors provides live online group and one-to-one tuition for students in Years 3–13. The service is operated by Axis Educational Trust, 16-17 Grand Arcade, Industrial House, North Finchley, London N12 0EH ("we", "us"). By submitting an application and enrolling your child, you ("the parent/guardian") agree to these terms.

2. Applications and trial lessons

• Submitting the application form does not create an enrolment and takes no payment. We will contact you to confirm availability, timetable and fees.
• If you request a Trial Lesson (1 hour), we will arrange it once availability is confirmed. A trial lesson does not commit you to enrolment.
• One trial lesson per student. Trial places are limited and offered once per student; we reserve the right to decline repeat trial requests for the same child, including requests made under different contact details.
• Enrolment begins when we confirm your child's place and you accept the confirmed timetable and fees.

3. Lessons and the online classroom

• Lessons are delivered live in an online classroom with an interactive, bidirectional whiteboard. Group classes are kept small; one-to-one lessons are with a dedicated tutor.
• You are responsible for your child having a suitable device with camera and microphone and a stable internet connection. A writing pad is optional but recommended.
• We may occasionally need to change a tutor, lesson time or class grouping; we will give you as much notice as we can.
• If we cancel a lesson and cannot offer a make-up lesson or recording, you will not be charged for it.

4. Lesson recordings

Recordings, worksheets and other teaching materials are our intellectual property (or our licensors'). They are provided for your child's personal study only and must not be copied, shared outside the class, re-published or re-sold.

5. Fees and payment

• Current standard rates are published on our website: online group lessons (Primary, Secondary, GCSE and 11+) £12 per hour; A-Level group lessons £15 per hour; one-to-one lessons £40 per hour. Your exact fees are confirmed before enrolment.
• Monthly payment: fees are invoiced monthly in advance and are payable between the 1st and 5th of each month. Continued attendance requires an up-to-date account.
• Late payment: if payment has not been made by the 5th of the month and you have not contacted us, a £5 late fee applies; a further £10 applies if payment is still outstanding after the 10th. Late fees are added to the next invoice. Persistent non-payment may lead to the place being suspended or cancelled.
• Registration fee & deposit: a one-off registration fee and a refundable deposit (equal to half of one month's fees) may apply at enrolment — both are confirmed in writing before you enrol. The deposit is offset against the final month or refunded by bank transfer when the account is closed with proper notice, less any unpaid fees.
• Payment methods: bank transfer or debit card. We do not accept cash by post or cheques.
• Fee changes never apply mid-term without notice: we will tell you in writing at least one month before any change takes effect.

6. Absences, missed lessons and withdrawal

• Authorised absences: please tell us at least 24 hours in advance if your child cannot attend. The lesson recording remains available to watch, and where practical a make-up (cover) lesson may be offered during school holidays, at our discretion and at a time set by us — normally at most one per month. Exam-preparation courses may not be eligible for cover lessons.
• Unauthorised absences: lessons missed without notice are not refunded and are not eligible for a cover lesson (the recording remains available). An unauthorised absence of two weeks or more may result in the place being cancelled without refund of any deposit; a re-registration fee may apply to return.
• One-to-one lessons can be rearranged with at least 24 hours' notice; lessons cancelled with less notice may be charged.
• Changes to enrolment (subjects, days, long planned absences): please request them in writing (email) by the 5th of the month — verbal or phone notices cannot be actioned.
• Withdrawal: you may withdraw your child by giving one calendar month's written notice, given before the 5th of the month (email is fine). Fees remain payable for the notice period; any deposit and fees paid beyond it are refunded by bank transfer.
• Cooling-off: within 14 days of first enrolling you may cancel and receive a full refund of any lessons not yet delivered, in line with your consumer rights.

7. Safeguarding and conduct

• All tutors are qualified, vetted and DBS-checked. Lessons are recorded partly for the protection of students and tutors alike.
• Students are expected to behave respectfully in the online classroom. Persistent disruptive behaviour will be raised with parents; we reserve the right to end an enrolment where behaviour makes teaching the class impossible (with a pro-rata refund of unused fees).
• Students must not record, photograph or screenshot lessons themselves, or share lesson links with anyone outside the class.
• Any safeguarding concern will be handled in line with our safeguarding policy and, where required, referred to the appropriate authorities.

8. Homework, reports and the parent portal

Homework is set after every lesson and marked with feedback — regular completion, attendance and punctuality are essential for progress, and we ask parents to support this at home. You will receive regular progress updates and termly written reports, and can view lessons, attendance, reports and your account at any time through the parent portal. Portal logins are personal — please keep them private.

9. Liability

We provide tuition with reasonable care and skill. We are not liable for exam results (no tuition provider can guarantee grades), for interruptions caused by your own equipment or internet connection, or for events outside our reasonable control. Nothing in these terms limits our liability where the law does not allow it to be limited.

10. Data protection

How we collect and use personal information — including lesson recordings — is set out in our Privacy Policy, which forms part of these terms.

11. Changes and governing law

We may update these terms from time to time; material changes will be notified to parents by email before they take effect. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
